NexMind AI ("we", "us") is operated by Variable Solutions. This policy explains what data we collect when you use the NexMind AI platform at variablesolutions.co.zw/nexmind.ai, and how we use and protect it.

1. What we collect

Account data: your name, email address and password (stored as a salted bcrypt hash — we never store plaintext passwords).
Usage data: the prompts you send, the model used, token counts and the cost billed to your wallet. Prompts are sent to the AI provider you select (OpenAI, Anthropic, Google, Groq, OpenRouter or Mistral) to generate responses.
Wallet data: top-up amounts, payment method used, transaction history and wallet balance.
WhatsApp agent data: if you message the clinic/pharmacy agent, we store the conversation, appointment bookings and stock enquiries needed to operate the service.

2. How we use your data

To provide and meter AI services and bill your wallet accurately.
To operate the WhatsApp agent (appointments, stock checks, human handoff).
To improve the platform and prevent fraud or abuse.
To contact you about your account or service changes.

3. Payments

Payments are processed by third-party gateways (EcoCash, CBZ iVeri, Paystack, Flutterwave, Stripe, PayPal). We do not store your card numbers or mobile-money PINs. Gateway transaction references are kept for reconciliation.

4. Data sharing

We share data only with: (a) the AI providers you select, to generate responses; (b) payment gateways, to process top-ups; (c) our hosting provider, to operate the service. We never sell your personal data.

5. Data retention & deletion

Account and wallet records are kept while your account is active. You may request deletion of your account and personal data at any time by contacting hello@variablesolutions.co.zw. Financial records may be retained where required by law.

6. Security

Passwords are bcrypt-hashed, API access uses signed tokens, and the wallet service uses HMAC-signed service-to-service authentication. Data is stored on secured servers.

7. Your rights

You may access, correct or delete your personal data, and withdraw consent for processing, subject to legal obligations. Contact us at hello@variablesolutions.co.zw.
